Tracking technical issues with star seller

Jump to solution

I'm only posting this to let Etsy know of technical issues related to the star seller stats since this is what they said to do. I shipped an order on September 30 and entered the tracking number right away as it was shipped in the same box with another item the customer had purchased. Etsy immediately reduced my 100% shipping and tracking rating to 89%. I'm guessing this is because I had entered the tracking number for the second package instead of buying a second shipping label through them. Anyway, my stats were reduced causing me to lose the star seller badge for only that category. However, the morning of October 1 it must have recognized the tracking number I had entered the previous day and put it back up to 100% for November 1 stats, but I still lost it for October 1 because of the shipping label issue on September 30. Super annoying especially since I am hearing that Etsy is considering giving star sellers certain advantages. Fix the glitches and technical issues first!

@MollysCellar: We often combine multiple orders into a single shipment and have had no issues. Make sure that the shipped date, tracking number and shipping company show correctly on both orders (you can use the same tracking information on more than one order if it is legitimate). However, remember that due to time zone issues, September 30 to you may be October 1 to Etsy. Our experience is that a day or two after the package has been scanned the CSV file and orders correctly show tracking and shipment status.

Yes everything showed correctly. There should be a way for Etsy to deal with issues like this though. We shouldn't have to worry about whether or not to ship at the end of the month and get dinged because of it.

I'm not sure why they keep telling sellers to post situations here that they are aware of (and don't plan to change, apparently.) The last couple days of the month often does not get counted towards calculations for Star Seller. Admin have even mentioned it several times in some posts here.
You have our sympathies -- this has happened to a lot of people.

There should be an actual place to report tech situations instead of forums where I doubt they pay attention to.

@Adorabilities

It's either the live chat & phone support call center folks directing them to post here or the sellers just read the Help Center article that directs them to post here. The call center support folks pretty much just repeat whatever is in the Help Center for most issues.

https://help.etsy.com/hc/en-us/articles/4403058372503-How-to-Become-a-Star-Seller?segment=selling

Scroll a tad until you see the bit highlighted in light grey that says

"Etsy Support can’t make changes to your Star Seller data or manually award Star Seller badges. If you think your Star Seller score was calculated incorrectly, you can let us know in the Technical Issues forum ."

Then sellers with issues post here and we tell them they need to contact etsy support.

I understand that if there really is an issue out of the norm, it might make sense to post here about it. What I don't understand is when an issue has been clearly explained by chat staff or by pointing the seller to the rules -- why do they still tell people to post here? We'll just tell them the same thing that they've already been told.

It was more of a rhetorical thing. : ) I know people are being told to post here. I just can't figure out why, unless it's just to get them to quit the chat and go somewhere else. Sort-of like "we'll pass your issue on to a specialist." Whether that's true or not, it pretty much ends the chat.

@Adorabilities I believe the Etsy Support reps simply have limited access to resources and information. In my experience, most reps just read from the same Help Center and TOUs/House Rules documentation as is available to all of us. Also, in my experience, whilst on the whole conscientious and well-meaning, most ETsy Support reps have little functional understanding of the workings of the platform and, let's face it, the documentation provided by Etsy is so couched in "Etsy Speak" that even native English speakers have difficulty understanding content at times. If the documents say something it is repeated verbatim. If it says "report in Forums" then that is hat is advised, despite the fact that such a report rarely attracts any Moderator attention, let alone action.

Just a little more clarification on the "timestamp" used for SSP. An Etsy Moderator has confirmed in recent days that, whilst the "timestamp" on Messages and Shipping in any  one Shop will be in Seller's local time, the "timestamp" used for SSP CSV puropses is Brooklyn NY UTC time.

I believe the Messaging metric does "discount" the last 48 hours of a month as this allows Sellers the 24 hours they are allotted (or 48 hours in the case of a Help Request) to respond.

Have they explained the timing with new and/or shipped orders? I remember back in the first few months of the program, I had over 20 orders that weren't counted because they had happened on the 27-30th of the month. Some had even been shipped and received by the 30th, and they still didn't show up until the next month. Hopefully things have improved since then. I don't look anymore. : )

@Adorabilities

I gave up trying to figure out the why of most things Etsy hehe. I think you are right though...it may just be to get them to leave the chat so they go elsewhere for help.

Sadly the only constant around here is inconsistency it seems. There are some other Help Center articles that haven't been updated in like 4 or more years. Even after they made a change in a page layout or something they fail to update the Help Center page. I have reported all of them that I have found numerous times but finally just gave up.

Small simple things they can fix get ignored while they focus on changing (and often breaking) things that do not need to be fixed.

It's just the Etsy way I guess.

It is probably not a tracking issue, but as Adorabilites stated, it was the last day of the month so stats did not update.

This is what I think @JackisJustVintage  that the issue is due to this occurring at the end of the month. Whether it is fair or not, the star seller metrics tend to lag a day or two behind on updating and when something is close at the end of the month that can cause a loss of the star seller status. Again fair or not fair, Etsy does not back track once it has decided on the status for a month. If the status is lost, it can only be regained by what happens during the current month.

ETA that if Etsy was to be transparent they would probably say that things are working as intended. The lag in updates has been since the start of the program. So it does not seem like this is something they feel the need to fix.

@MollysCellar I think you just got caught up in the "black hole" which appears on the last days of a Month. As SSP Stats often take 24 hours to update, anything actioned on the last day/s of the month often do not update in time for the SSP Stats for the next Month to catch up. That is the bad news.

The good news is that the SSP stats do update after a few days and our next month SSP will reflect the correct stats.

I have had this happen with an Order which was still "Processing" on the last day of the Month. I could not add tracking as the Order was not "Paid", yet the Shipping on Time CSV reflected that this had not been actioned and I lost the Shipping Badge - for an Order that was still "Processing"!!!

I wish I had known about the black hole. There shouldn't even be one. I'm surprised at how poor Etsy tech support is.

Well it is what it is @MollysCellar. The metrics just don't and never have been updated on a daily basis. They are always behind. In your case you lost the star seller this month but for other sellers there might be times they keep it instead of losing it if say something that would have lowered their metrics doesn't update until after the end of the month has calculated.

ETA as a buyer, I don't even bother looking for the star seller status because I think it is just too messed up how so much of it is handled.

@BirdsongEmporium it's ridiculous that's how it works though. Sales, payment accounts, stats for sales, views, etc., update almost immediately on a seller's dashboard. Etsy has the capabilities to ensure star seller stats can update just as quickly, and they need to if they plan an making star seller stats affect search ranking.

This happened to me! I shipped out two packages the last day of September and combined the two orders because they were going to the same address. I manually entered the tracking number for the second order and got dinged for BOTH ORDERS they both show I did not ship on time even though if I look at the tracking they show accepted by USPS and shipped out on September 30th. This is absolutely infuriating! I lost star seller for absolutely no reason and it can't even be corrected.

I had the same thing happen to me.  Unfortunately, if any items are shipped the last day of the month, they will not get counted correctly until the next day or several days later. This month the last day of the month had several shipments that inaccurately counted as no tracking information and resulted in shipping metric to fall below 95%. Extremely frustrating.

Re: Tracking technical issues with star seller

I had finally gotten enough sales to receive Star Seller again.  Then all of a sudden a order I had shipped the middle of September went from being "delivered" to "in Pre Transit" on September 30th.  I immediately contacted Star Seller support and she saw it had done that and manually changed it back to delivered.  Of course it was to late for me to get Star Seller.  Two days later 2 more orders suddenly went from "delivered" to "no tracking Number"  and a new order never changed from "Pre Transit" even though it is now delivered.  I have contacted Star Seller Support twice and they said because of how the are changing I need to wait for technical support to fix it.  I have not heard from anyone in technical support and have 2 more orders to ship now.  If these two orders do the same I will have my percentage so low I will never get back to 100%  I am really getting upset with the whole issue and about to close my store and go elsewhere to sell.

I think ETSY should discontinue the STAR seller program until they have fixed all these problems. There are some great sellers on ETSY (including me) who work very hard to deliver the best product and service. For excellent people to not be recognized because of technical issues  is wrong. Worse is the way ETSY doesn't seem to care about solving the problem. Support points to Technical, Technical points to support,ad nauseum. The cherry on top is the way they refer you to the confusing, outdated document dump that is ETSY Help Center. How are you supposed to do product development, take photos, write posts, wrap and send if you're trying to wade through all that verbage? I wonder if there is anyone at ETSY who is familiar with running a small business? Do they not understand that this stuff eats away at our creativity and enthusiasm? Maybe they just don't care. I have come to the conclusion that if I deliver the very best I can on all fronts, it's just too bad if I don't make STAR seller again. I am toying with  having a sale later this month with the code "Not A STAR"

@CarriageTreasures: Have the packages been scanned? At some point, if a package is never scanned it appears that it will revert to being considered as not shipped with tracking. That being said, based on the threads in this forum there seem to be increasing issues with Aftership not correctly updating orders and the CSV file.

Yes, the packages were scanned.  As I said everything was fine for several days after delivery.  You click on the tracking number in the order page and it showed it scanned and through all steps and that it was delivered.  Then several days later it all of a sudden changed, to no tracking.  The one still on pre-transit, if you click on it it takes you to the post office page and shows you all the details and that the package is delivered.  It's only on Etsy that they are showing up incorrect.
