Quickbooks Online Sync with Etsy App Issues

Jump to solution

In looking at my bookkeeping it appears that the way the Sync with Etsy App for Quickbooks Online has changed how it's importing sales. I'm not showing any sales receipts, even though I've had sales. My Etsy Bank is showing a negative balance. The only items coming over are fees.

I recall in early 2022 or 2021 that there was an issue with the app. I've reach out to Quickbooks and they suggested contacting Etsy about the issue.

Anyone else use Quickbooks Online (NOT QB for Self-Employed) and having a similar issue?

Not sure if you saw, but it's back as of today. Hoping the stuff that was missed will eventually sync

We use QBO, and the sales transactions stopped syncing for us on April 3, 2023....the same day Etsy shut down the V2 APIs. I have a feeling this is all related to Etsy shutting down the V2 APIs and Intuit/QBO not updating to use V3 APIs, but I've gone through every support channel at Etsy and Intuit to try and get a resolution, but both parties just keeping pointing fingers at one another.

Glad to know it’s not just me, but disappointed in the two of them for sure.

They did the same thing there was an issue last time — point fingers back and forth, and eventually Etsy owned up to it and made an announcement here on the forums and corrected the issue.

If you have a suggestion on a solution outside of them pointing fingers, I’m open to know.

Hi, I know it's been a few months, but I'm having the same problem with my June transactions now. Did you ever recover the missing transactions? I would SO appreciate any info on this.

I just checked, and mine is still syncing.  I have QB self-employed.  Which is also online, so I have no idea why they have so many different but similar products.

Wow, wrote that badly and cannot edit.  I don't know why QB has so many different products that all do basically the same thing.  And why one is called "online" when other products that are also online aren't called that.

QB self-employed seams to be the  best to use with etsy and have less problems. Only this week I was wondering if online was better and how and thinking I should possibly change but it dos seam like every time etsy change anything online as problems.

I've had the same issue and although it is now importing, the missing transactions have not been added. I just spoke with a Quickbooks rep on the phone and it doesn't sound like sales from before the connection was resolved will be added. She said that since it's a "Third Party Product," they're not able to provide support on that. I'm dreading manually importing this all and hoping someone here may have an easier way to do it!

Any suggestions on how to get back the missed transactions from 4/3-4/17? Do we definitely have to manually input these?

I use a 3rd party bookkeeper to reconcile everything in QBO and keep it all in order. People say it is not that hard to do on your own, but I have not accounting or bookkeeping background. She alerted me to the issue and asked me to delete the Etsy sync with QBO and to instead send her a screen shot of the monthly summaries from the monthly statement reports showing all categories.  She will make one monthly journal entry into QBO for Etsy using these number. That actually sounds good to me, as maybe doing it that way is easier and I can eventually take it over myself and not pay a monthly fee to a bookkeeper.

Yes, same issue here. No sales receipts from April 4th through April 17th.  Apparently it is now working properly but should we manually enter the sales that didn’t show up?

There's no need to manually enter each transaction's info! You just need to make sure the numbers in the Etsy account match what is shown in your Etsy payment account (the current balance amount, NOT the available for deposit amount as otherwise you will be missing sales from the current day). Quickbooks imports data every 2 hours or so, so make sure that your most recent sales are reflected in Quickbooks.

Then:

1. Create a new journal entry (Left hand menu , + New > Journal Entry).

2. Find the difference between what is shown in your Etsy payment account and what is reflected in your Etsy quickbooks account, let's call this dollar amount 'X'.

3. Credit the "Etsy Shop Sales" account by 'X' and Debit the "Etsy (Shop Name Shown Here)" account by 'X."

4. Your Etsy balance in Quickbooks should now match your Etsy payment account and you're set!

Hey, I just realized this even happened.  (Slow at doing books).   Did anyone figure out an actual solution?  I hate they knew it happened but didn't alert us.  I only noticed it bc my numbers looked worse than I thought April was.

I just realized it too. Did you ever find a solution? I'm not going to add 400 sales manually.

I'm an Etsy seller and a bookkeeper for Etsy sellers. After the Sync with Etsy issue in April, I decided to no longer use it for my bookkeeping clients. Don't get me wrong, it works great most of the time, but it's a pain when it doesn't work! This is how I now do the bookkeeping for my Etsy clients, easy and accurate! https://youtu.be/qg4V3KJB6_w

I haven’t had a single transaction transfer to Quickbooks from Etsy since April 17 of 2023. You mean to say with all this finger pointing by both parties we are paying for a “service” that doesn’t even work?? And they still encourage sellers to sign up for this? I’ve been using QB small biz for the last 5 years or so and have never had this problem.

@ShovelandSpade

Quickbooks deleted 4 months of PayPal imports, in addition to deleting 4 months of Etsy imports that were all showing earlier in 2023.  That tells me who is to blame.

It's Quickbooks.

Too expensive, constantly trying to up-sell me, and terrible customer service.  I cancelled Quickbooks and switched to Seller Ledger.

Mine hasn’t been syncing for a long time with no explanation. I just read that Intuit is no longer owner of QB and will not support QB. I wonder if this has something to do with the finger pointing. I try to open my Quickbooks Self Employed app and I’m prompted to update the app. I then click on the link and it takes me to the App Store not the update page. I searched for the app in the App Store and it no longer exists. So now I’m wondering what to use in its place and why Etsy or Intuit haven’t notified their sellers/customers.

It's not worth paying them for a service that only works intermittently.  This has been going on for months and they won't take responsibility.   I switched to Seller Ledger:  https://sellerledger.com
