New orders marked as completed in error

Until the new upgrade, I was selling a digital, made-to-order item and the order would not be marked as completed until I sent it to the customer.  Now my orders are automatically being listed as completed.  I cannot process the order in a manner that sends them the email notification as I used to, so buyers won't have it in the purchases and reviews section of their account for a future download (if needed).

I have redone my listings, careful to ensure they are marked as made-to-order digital items, but this didn't fix the problem.  I don't understand what step I am missing.  Any thoughts or suggestions?  This never happened until the recent upgrade, and it's really annoying to not see my new orders where they are supposed to be.  I have to fish them out of the completed section and pray that I didn't miss one.

This is a bug. Noted with at least 4 other sellers in threads over the last few months.

Made to order digital listings are being switched to instant downloads with no files. This could be related to the new listing format, though it was not mentioned in those others threads which format they are using.

Try going back to the old listing format (button at the top of the listing page) and edit them again to be made to order.

I tried the solution mentioned above "going back to the old listing format (button at the top of the listing page) and edited listings again to be made to order" - it helped me. Had no troubled with the orders after those actions. I hope that will help you too!

The first item I looked at is listed as an instant download. When you list that way, it is complete the second they order.

Because they are custom, and you are emailing them once complete, they are not INSTANT downloads. Hopefully another similar seller will come along and explain it.

I'm having same issue and Etsy messed up my orders same way. My last 4 orders are the same. All my orders were made to order and when customer ordered it, it goes to completed orders. and i can see there's no files to download at customers end. I have to email manually all the files to my customers. And when ever i tried contacting Etsy they are saying it's a technical issue and they are trying to fix it. But this time one of their executive Javed is saying it's my fault because i have to marked the shipping time on my listing. How can we mark estimated shipping time on digital item. I dont understand that.

I sell multiple made to order digital downloads daily--am thinking its a bug with the new listing and the app. I have had no issues with orders being marked as complete before I upload the file--I use desktop and the old listing format.

Yeah, i believe so. Since i started using new version of Etsy i'm facing this issue. It seems like a bug to me.

Yes, that's where the problem is.  I am specifically entering the listing as a made to order download, but it is still coming up as instant download once I publish it.  It's so frustrating.

I've had the same issue for weeks now. Here's what I've observed:


1. All my made-to-order listings were working just fine until sometime during the recent updates. Then one day without warning a customer purchased a made-to-order listing and it was sent to "completed", even though it had NO FILES ATTACHED TO DOWNLOAD. When looking at the order it showed "not downloaded" (well how could they download nonexistent files?) and did not allow me to attach anything. This means that even though I can get them their file/s some other way, they will never be able to leave feedback because the order will always show as unfilled/incomplete on Etsy's side.


2. I clicked on the backend (editing side) of the listing in question and IT STILL SHOWED ME "MADE-TO-ORDER". I couldn't figure it out until I went to the public view of the listing and refreshed it. On that side it showed up as "Instant Download". So then I had to manually check every single "Made-to-Order listing". (Because why on earth would Etsy's well-paid team of developers do that testing before rolling out the "upgrade" to everyone? I mean, it's not like we sellers are busy preparing for Q4 or anything.)


3. What I have figured out is that "the switch" happens when the listing is published (and it's still happening). So if you change something and press "publish changes" or if you sell the listing and it gets automatically renewed, you must go back and check. The way to change it inside editing is to go the place where you click "made-to-order", open up that dropdown menu and hit the "apply" button. That's it. Then your change will stick. But it won't do it unless you apply it before publishing, even if IT SHOWS "MADE-TO-ORDER" IN THE VISIBLE SETTINGS (on the editing side). Just to be sure, it's not a bad idea (if you've got nothing better to do, Etsy Sellers) to check it on the public side.

Just here to say I’m also having the same issue. Going to try to fix this as another seller mentioned but very frustrating and time consuming.

Was this issue ever resolved? I’m having this issue for the past few weeks now and it’s making it very difficult to fulfill orders now. I literally have to go through completed orders and sort out which ones need to be fulfilled it’s been very frustrating

This is a problem because my customers are contacting me to say they haven't received their orders and I can't upload them (have to message them separately with an attachment).  I am only new to Etsy so this seems like a really odd problem..

I just noticed this thread is still ongoing...! Yikes!

A couple months ago, I tried messaging Etsy about this. I wrote it all out and detailed what we are experiencing and I got a generic, cut-and-paste reply explaining how to list digital download orders. So I tried it again, making it as clear as possible that I not only know how to list both instant download and made-to-order listings but have also sold many of both. This is a glitch on Etsy's side, it is NOT user error. Sure enough, I got almost the exact same reply from a different "support" person. Not one to give up easily, I actually tried again and requested that they escalate my support request. I think my final tally was five messages to customer service. At no point did I reach someone who understood the issue.

To recap (and this is validation for those questioning their own competence), it should be IMPOSSIBLE to list an item as "instant download" without files attached. In fact, if you tried deliberately to do such a thing right now, it would not work. The system will not allow you to list an item as "instant download" without any files attached to it. This is how you know that we're dealing with a glitch on Etsy's side, and NOT user error. (And it just happened to me again a couple weeks ago.) Because this is what's happening: I/we are listing items as "made-to-order", with NO FILES ATTACHED, so they're getting listed (again, WITH NO FILES ATTACHED), but then when someone buys them they're being processed as "instant download" and immediately marked "complete", even though THERE ARE NO FILES ATTACHED.

This should not even be possible. But it is, and I can prove that it is. Because right now, in my list of completed orders, there are multiple transactions that say "complete", "not downloaded", and when you click on what's "not downloaded", there is nothing to download there. Nothing. No files. Zip. It's also impossible for me to add downloadable files once the order is "complete". 

Before some of you start running through how to send the files out some other way, I want to assure you that WE KNOW. If we're capable of creating the listing in the first place, we already know how to attach the files in Etsy Messenger or how to send the customer a Dropbox link so they can download them. The problem is, we shouldn't have to do that. It throws a monkey wrench into our workflow.

In addition, it creates transactions that CANNOT BE REVIEWED. That's right. A customer cannot leave a review for a digital item if they have yet to download it and, if there's no files attached, it's going to say "not downloaded" FOREVER. It doesn't matter how many Dropbox links we send out. The system will always show that transaction as NOT DOWNLOADED. If you're a shop without thousands of sales, struggling to maintain your Star Seller status, every sale matters. And I can guarantee you, without ever speaking to anyone official at Etsy, that those unreviewed sales do count in our reviews percentages and they count AGAINST US. They most definitely do not count in our favor.

The fact that Etsy would let this glitch continue for MONTHS and give us sellers no way to alert them of the problem, says a lot about Etsy and their priorities. 

I don't have any additional help other than what has worked for me. I have been using the new listing setup for months. I did not use the button/link to go back to the old way. I'm just trying to remember to periodically check ON THE FRONT END (customer's side, not inside our editing) that my made-to-order listings still show up as that. I don't think I've ever had one say "made-to-order" on the front side (they did on the back, of course, which is why I didn't catch it) and go through as an instant download. What has happened is that an item listed correctly sold and then was switched when it was auto-renewed or I changed something in the backend and hit publish and it was switched then. During all of those occurrences, the listings still said "made-to-order" in the backend (editing side). I just didn't habitually go through the front side of all my orders and double-check that what the backend showed was accurate, until I started getting this issue.

I had thought it was fixed and then, as I said above, it happened again on an order about two weeks ago, which reminded me that I still need to periodically check the frontends of all digital listings. So all I can suggest is that you check on the front side that your listings show as "made-to-order" and, if any of them has been switched, go into editing (where it will probably STILL SAY MADE-TO-ORDER) and pick "made-to-order" again and save and publish it. Then refresh the listing on the frontend and be sure it now says "made-to-order" on the customer side.

Yes, I know and agree this is a total pain. I honestly do not understand being a large company that relies on sellers making sales and employs a whole team of developers allowing this kind of glitch to continue and not having anything in place for said sellers to report it. (Although, as of a couple months ago, they're not employing quite as many team members as they were, are they? Which, I dunno, might be an argument in favor of a few changes, Etsy. Just sayin.)
