I really need advice!

Saturday a customer asked for a custom made set of flowers for her wedding. She needed them within 6 days ( by tomorrow) I made several flowers, but she didn't like any. Monday I made the one she loved! She placed the order but in the notes section she requested 2 18 inch lace strips. It wasn't until later that I realized she added a note at checkout asking for the lace strips, so I didn't charge her for them. I could have made another listing for 2 18 inch lace strips, but I decided to just give them to her instead of creating a new listing and asking her to pay a few extra $ for them. Let me rewind...before she placed the order and requested lace strips , she wasn't sure if she wanted a pearl or rhinestone. As a gift, I told her I would give her a rhinestone incase she changes her mind. Ok...Monday she decided on a flower she liked, placed the order and in the notes section she requested (2) 18 inch lace strips and reminded me to not forget the rhinestone. Well yesterday I shipped her order priority so she will have it Thursday before she leaves out of town. I totally forgot to include the lace strips and the rhinestone that I didn't charge her for. She said she cannot afford to pay to overnight it. She was already upset that the flowers were not mailed sooner but it was my fault for not making any flowers she was happy with until Monday evening. Anyway, I guess I have to pay $40 to overnight a small rhinestone and 2 strips of lace that I never charged her for. I want to cry! I just want some advice on what to do if this happens again...I mean, if someone places an order then adds a note requesting that I include something else. How to I kindly ask that they have to pay for additional materials?

You just ask! When she placed the order with the note I'm sure she was expecting an additional charge! I do understand you giving the rhinestones for free because you forgot it but the shipping cost and the rush should carry a standard fee! Don't beat yourself up!

Live and learn. I would not send free items overnight on my dime. I know you want to be generous, but you may want to limit yourself to listed items, so you inadvertently forget to send a freebie.

This is an unfortunate lesson to learn. Just try to get past this one and remember this for the future. You will bounce back and be able to handle things better in the future because of this.

Custom rush orders always make me nervous! I have learned not to offer anything for free because usually they will request other free items.

Also, in my workspace I have a running list of orders and the details of each one. This way, while I'm working I see the order and anything custom with it. This might be old fashioned but it helps me to physically see the order details while I'm making it and I don't forget to make/ship anything. Once it's done I cross it off my list. I would suggest finding a system that works for you to ensure that nothing is forgotten.
