I have filled out the info for shipping profiles and calculated shipping.

Based on the info I have received from the forums, I should have measured my inventory in the way it would be mailed (i.e.-if it were a blanket, measure it after it was folded, the way it would be mailed). And that the weight should be what the item would be shipped in (again, the blanket in a box, then weigh it and use that weight.

So I'll fix that, as long as that suggestion was correct.

I was also told that I have to fix my shipping profiles, that they are all US priority or something like that, and that is one reason my shipping prices are so high.

It seems as if every time I think I fixed something, I did it wrong or only halfway. I have reached out on the forums, to other etsy shop owners, and read the suggested articles.

My dashboard seems to show that there is interest in my shop, and I think the shipping issue may be the biggest roadblock to more sales.

Can someone PLEASE take a look at my shipping and tell me what I'm doing wrong, and give me very specific steps on how to fix it?

Barbara, welcome. We are happy to help.

I am going to look at your shop - but first - you are correct in your dimensions and weight as you stated above. That is the way to do it.

For shipping profiles usually it's good to have one that has First Class and Priority. One that just has Priority. And if you ship Parcel Select, you can also include that with the other options.

You don't need a lot of profiles. Multiple shipping options can all be in one profile. If you have different processing times for different items, then you would want separate profiles for that. And if you want charge different fees on different items you may want separate profiles for that. But usually you only need a few different ones.

Let's start with your water bottle covers. You have FC shipping at $5.90. I know from yesterday you said you use Etsy shipping label prices and you said you didn't have a proper scale.

Therefore you must be guessing at the weight of this item in the envelope you are putting it in. What weight do you have for this item? What dimensions do you have?

You are getting the highest FC charge there is of $4.40 - And then you are adding $1.50 handling fee to the profile. That means every water bottle cover is getting charged an additional $1.50. $5.90 for FC shipping is very high. If you need an additional $1.50 for each cover you would be better off charging more for the cover itself and less of a handling fee. 50 cents would be a reasonable handling fee for something like that.

And I can't believe that something like that in a bubble envelope weights 14-16 ounces. It is probably less than that which would bring the cost down.

Last, if you are using envelopes for first class - you need to add then to package preferences under Custom - this is where you put in a title like Small Envelope, Large Envelope - then you put the dimensions of the envelope. You must add your own height there.

Adding a height to an envelope. What is the height of your water bottle folded and ready to ship? If it is 1 inch and you can fit 2 of them in an envelope then you need to put the height of the envelope at 2 inches. If the height of the bottle cover is 2 inches - then put 4 inches for the envelope if you can fit 2 in there.

You need to add envelopes and boxes to package preferences that will fit your items if you want multiple items to fit together.

Right now if I put 2 bottle covers in my cart - I get charged two whole shipping costs of $11.80 for FC which means the calculator is not combining them because the dimensions you have will not fit 2 of them in the boxes you have for First Class.

You may have checked off preferences from the drop down menu, but that only covers priority flat rate and regional rate boxes. These boxes will only be applied for Priority. And flat rate isn't always the best as well as the fact that you need to have all those boxes from the USPS on hand if you are going to ship that way.

A note - flat rate and regional rate boxes are not purchased. You must either get them from the post office or order them online (some items you can only get online). These flat rate and regional rate boxes and envelopes are free, but you must have them in order to use them.

I save boxes and bubble wrap envelopes and have a ton...

Do I HAVE to use USPS supplies to do this, or can I use what I have?

Barbara. You can use any packing and shipping supplies you want to - however, as I said above, if you have selected the flat rate or regional rate packages in package preferences - there are special boxes and envelopes for those that you must use if you choose those options for shipping.

For first class packages you need to use generic packaging - nothing that says priority on it.

For regular priority you can use generic packaging or priority boxes - the regular ones like 7x7x6 or 12x12x8. This regular priority option is sometimes cheaper than flat rate.

When you print a shipping label on Etsy there are 2 drop down menus. The first one is where you pick First Class or Priority. The second one you either choose envelope/package or one of the selections of flat rate or regional rate options. But if you choose a flat rate or regional rate option - you must have the specific box for that from the USPS.

In my package preferences section I have 12 different boxes listed. Some of them I have pulled from the drop down menu like Regional Box A and Regional Box B. I also have the small, medium and large Flat Rate Priority boxes chosen. I have all of these on hand and use them all the time. Be aware that for all of these there are a couple of different sizes available. You need to chose the appropriate one for your use.

In addition to those I have from the drop down menu, I've entered a lot of my own boxes that I use all the time. I have something I call Priority 1 in my list which is the USPS Priority box that is 7x7x6. I also have Priority 2 which is 12x12x8. Then I have plain boxes that I had to buy myself like Small Box 6x4x4 and Medium Box 9x6x4 - these are just examples.

You need to enter your own names and measurements. And for envelopes you need to add a height measurement as well that must be at least 1 inch or more.

I have use Etsy common sizes unchecked because I have specific boxes that I use and nothing else. But some folks use a combination of those sizes and their own.

When you make a sale, your will see on the order page what box size the calculator selected along with what mail class and the price of shipping charged.

If the order says a box 6x6x4 but you know the item will fit in a padded generic envelope instead - you can use that, it's your choice. You don't have to use the box selected by the calculator provided your shipping will still be the same.

If the calculator where to select a flat rate medium box however, which is $11.30 to ship through Etsy - you cannot put that item in a generic box and then print a flat rate label - you would have to select regular priority which might or might not cost more or less. If the calculator selects one of flat rate or regional rate envelopes or boxes you have listed you have to use that specific box or envelope in order to get that shipping price.

So be careful what you select from the drop down menu in package preferences. Make sure you only select boxes and envelopes you actually have for shipping.

Kathy, I wasn't going to write you till:

-My postal scale was delivered (I live in NY and we even went to Brooklyn to visit my son...three Targets, one Staples, and one Walmart, and no one had a postal scale! Well....Staples had a broken one...)...the scale should be here tonight.

-I re-weighed everything in the container it was supposed to be in when mailed and re-entered those weights.

WELL...I just went on my phone to check my mail and I got an email from a man named (........) who labeled himself a 'Member Advisor, Shipping'.

He said (summarizing) that: my shipping profiles look like they are set up correctly, that "WHEN SETTING YOUR DIMENSIONS, IT SHOULD BE THE SIZE OF THE ITEM, NOT THE BOX IT WILL BE SHIPPED IN", that the dimensions of each listing is used to fit multiple items into the smallest box possible, and the postage is calculated based on the total weight of the items, the box, where the box is going and the shipping method the buyer selects.

I know that in the scheme of things, my etsy shipping is not a huge world problem. I probably mentioned it somewhere, but I'm going to mention it again, if I haven't . I suffer from generalized anxiety and depression. Crafting soothes me, and that is a great thing b/c I had to leave my job in April (I was a teacher.) and am applying for long term disability. Etsy gives me the opportunity to craft and also to (hopefully soon!) help with the family finances.

Trying to figure out how to correct this shipping issue has caused me ENORMOUS stress as I am hoping to get it fixed by the end of this month at the latest...my shop IS being looked at...I hope to be able to make sales during what many say is the busiest time of the year for sales.

I was doing pretty good today till I read (.......'s) response. I want to cry. I am trying so hard and none of this makes sense to me. All I want to do is the right thing and I feel like I'm turning to every outlet for help and....what do I do? Who is right?

Barbara, please take a deep breath. What that person - whoever it is - told you exactly what we have been telling you. We have all told you the same thing honey.

You measure you item - that means fold it up like you are going to ship it and measure. We all have said - measure the item not the box.

Then you put your item into the box or envelope it will ship in and you weigh it. That is the same thing we have all said.

Don't be confused, what he said is exactly what we have been telling you.

What I explained up above is about Package Preferences and that is different from your items.

So step one is to create a shipping profile and step two is to measure you item and put those dimensions in your listing. Then put the item in the shipping box and weigh and put that in your item listing.

Step two is attach your shipping profile to your listing.

Once you get that done - dimensions of the item only, not the box. Weight of the item ready to ship in a box. We can move on to package preferences.

I was just concerned because it sounded like you had selected all the boxes and envelopes in the drop down menu in package preferences. You don't want to do that.

So just work on your listings for now. Dimensions and proper weights. They we can move on.

And do not stress about it. We have talked other people through this and we can help you do it too.

Thank you for understanding. The anxiety takes everything to another level and it's ridiculous. I'm working on just putting everything in perspective. It's hard at the moment, but I'm trying. :) The anxiety/meds also make it difficult for me to process too much at once, which makes it even more of an issue, and I appreciate your patience with me.

Ok. I know you all have lives and don't want to spend your weekend answering my panicked questions about shipping. What I would like to do is present my questions and if you could reply with short, simple answers-and a description of how to get to the area of etsy if need be-it would be much appreciated. I'll then spend the weekend working on what I can-knowing it will be right-and then I'll be that much closer to being able to finish the process.

Here goes:

1) So when the postal scale comes in, I am to measure the ITEM ONLY in the way IT WILL BE PACKAGED WHEN MAILED and use those measurements, correct?

2) Do those measurements go in the listing profile in my shop? Do they ALSO go anywhere else? If so, where, and how do I get to there on etsy?

3) When I put the item in the box and weigh it, where do I enter that weight?

4) I went to the post office last night and got as many varied boxes and envelopes as they had. I matched what they had with the measurements listed in the packing profiles (?)/shipping profiles(?) and got rid of the rest on the list on etsy. I also listed some bubble envelopes that I had from my own supply, and added them to the list. What I have on the list RIGHT NOW, is that what would be appropriate for me to have to mail the items I have in my shop? (I don't anticipate making anything huge or oddly shaped now or in the future.)

5) Because I don't work, live right down the street from both the PO and a Target where I can purchase any size bubble mailers/boxes, etc... would you suggest adding different sizes of boxes or items? If so, could you please be specific on what type/size box or envelope you would add?

6) I think I know how, but in case I forgot, how do I attach the shipping profile to my listing?

Ok...I've been reading back and forth between your last post and what my questions are and realize I'm still spazzing. Thank goodness you're calm against my anxiousness! :0

Barbara you just have to go step by step. Don't think too far ahead.

1. You set up shipping profiles. There you simply select the mailing classes you are going to use. Like First Class and Priority - setting up one profile with both of those classes of mail is the best way to start. Keep it simple to start. Don't add things like priority express or media mail etc. Just make a profile with first class and priority. The calculator will take care of the rest. If the item is 16 ounces or under it will show a first class and priority price to your buyers. If the item is over a pound it will only show priority to your buyers. It's always best to have both options in your profile.

2. Yes, you can measure your items even before you get the scale. If it's a blanket, fold it up like you are going to fit it into a box. If it's a bottle cover, again, fold it like you are going to fit it into an envelope or box. Then measure.

3. In each listing there are boxes to enter weight and then dimensions. This is where you put the dimensions and weight - this is the only place you enter this information. There are fields in the listing for you to put this stuff. Below the dimensions field is a drop down menu where you select a shipping profile. Once you do that your item will have calculated shipping.

4. I'm glad you only selected the boxes in the drop down of package preferences that you have. That is best to start. You can also add your other envelopes or boxes there. As I have said before, just make sure that if you add an envelope that you add a proper height dimension there. Look at my responses above for information on that.

I always recommend to new sellers that when you set up a shipping profile you choose to only ship to the US - that means you uncheck the box for ships everywhere. Do not get involved with international shipping until you know how to ship within the Us.

In the shipping profile you choose the processing time as well. If all of your items have the same processing time then you only need one profile. If some items take longer than other, then set up separate profiles for that.

I also recommend starting with First Class and Priority - choose both of those for a profile. Don't worry about other mail classes until you have the hand of shipping.

Last, don't add a big shipping and handling fee to the profile. If you add a handling fee there, it will get charged to every item purchased. These can add up. It's better to increase your item price than add a lot to a profile for handling. 50 cents on a $10 item is okay - $1.50 is too much.

I personally add a handling fee of 50 cents to my package preferences instead of my shipping profiles. That way my buyers are charged a small amount to cover packing materials - but only once per box. So someone can order 6 candle items from me and the calculator will put them all in one box and only charge an extra 50 cents for the whole order - not on each item which would add up to an extra $3 for shipping. I want my shipping to appear reasonable. If I need to cover extra costs, I add it into the price of my items, not the shipping.

I do have one question, now that I'm thinking about it. Remember I said I have a lot of boxes saved, b/c I thought I could use them on etsy?

If I measure the dimensions of the box, could I go to the spot (shipping profiles?) where it asks for the ways you want to ship things, click on custom, and enter the dimensions of the boxes I have? (Obviously not all at once, but I'm thinking that I would like to recycle and use what I have, so maybe a few at a time?)

Would that work?

Barbara, you don't have to enter every different size box you have - you could enter a range of sizes. If you have more than one of a particular size then certainly list it.

For instance - I sell a lot of smaller items going first class that I have to buy boxes for. I buy both 6x4x3 and 6x4x4 - but I only have the 6x4x4 box listed as a custom box in package preferences. So all of my smaller items that sell and the orders that come in say the calculator used the 6x4x4 box. But I don't have to use that box. I can still use my 6x4x3 box if that is better.

You can also leave the use Etsy common sizes box checked to use. If the boxes you have are similar in size that will work. Along with listing any flat rate or regional rate or express packaging you have in package preferences.

Just because the calculator selects a particular box when you get an order, that doesn't mean you have to use that. You can use any box or envelope you want. The order just tells you how the calculator figured the shipping box - it used something this size and weight with this mail class. You can change the size box if you still have the right amount for shipping.

Well. I spent some of the afternoon and most of the evening yesterday working on re-measuring and re-weighing my inventory. I also created a shipping profile for each item, and lowered the packaging fee for every item. Can you check and see if everything is as it should be; that my shipping prices are reasonable now? I checked after I fixed each item and so far (I just have some small items to do now.) the only issues I noticed was that the mug rug shipping seemed high, and the star blanket still ships for $50 and I have no idea why.

I have some questions still:

1) I was lucky enough to get a sale last night! :) It was for a water bottle holder. When it got to the part where you print out the shipping label, I got stuck. She had paid for the item and for shipping. But the label wouldn't print till I entered the weight of the item and the way I wanted to send it. That's never happened before to me when I've sold anything, and I'm wondering why it happened now. When I corrected everything last night, the shipping was $4.04. Hubby brought the package to the PO just to see if the shipping was correct b/c it seemed high to me. The PO said that was correct. When I entered the weight and chose the mailer closest to a bubble envelope, postage came out to be something like $2.04. What happened? What do I do if it's returned to me for not having enough shipping on it? I already printed the label and packaged the item.

2) I know we've been over this before, but as you know, it takes me awhile to understand something. ;p For shipping, I have the flat rate boxes that I got from the post office. Is that what I should be using? As I said before, I'd rather use up my large supply :) of boxes I've been saving. I do have the Etsy common sizes box checked. So if the size of the box I have is the same as the flat rate box that is listed, I can use my box to mail the item?

3) I'm wondering why this waterbottle holder order just didn't calculate the envelope bubble mailer automatically? It's listed in the package preferences.

4) You recommended that I offer only first class and priority for now. Where and how do I do that. I don't see it anywhere.

5) How do I print out a page with the info for a completed order? I want to save them for when it's tax time.

I was so happy with myself for figuring out what I thought was the biggest hurdle last night, and then even more happy for making a sale (which I probably owe to you! :), but now I'm feeling kind of discouraged b/c I don't want to mess up this person's order.

Let's deal with one thing at a time.

Your water bottle order. On your order page, for that order, at the top highlighted in yellow it will say the mail class (in this case I'm assuming First Class).
To the right of that it will say what was collect in shipping.
On the next line you will see the box or envelope that was selected and the weight that was used.

Now over to the right in the blue highlighted area there is "receipt" - click on that. If you scroll down that page it will give you a break down of the shipping costs. It will show you shipping (postage charge based on weight). Handling (that is the fee you have added to your profile), and Packaging (that is the fee charged if you put any fees on your boxes). If you have no box fees then you won't see a Packaging Fee.

So what you collected is not just the postage based on the weight of the item - that is why you would get more shipping than the actual postage.


If you print a label on Etsy, that is separate from calculated shipping. Calculated shipping is just a tool to determine shipping charged to your customer, it has nothing to do with labels.

Some people use calculated shipping but then print their labels on PayPal, or the USPS site, or take them to the PO to mail.

Since you are using Etsy shipping labels that is a separate process that has to be filled in by you. You are still responsible for packing up your item for shipping and then weighing that package. Then you go to print the label and select the mail class and then if it is not a flat rate box, you select package/thick envelope. And then you fill in the weight of your package. That should be close to what you put in your listing for the weight of the item, but it may be slightly different. You always fill in your label with the actual final weight of your item when it's ready to ship.

The reason this can be different is if someone buys more than one item - you never actual know the true shipping weight until your items are packed up.

No matter what the calculator figures - you are responsible for entering the accurate weight and size of the package when printing a label. Hopefully this will be close to what the calculator figured but it could be different. The USPS doesn't care what the calculator figured - it cares about the size and weight and mail class you have printed on your label.

Etsy shipping label prices are not the same as the prices you get if you take something to the PO. Etsy gets a bulk discount - it's called commercial plus - so the price you will pay for postage online will be cheaper than what it would be taking it to the PO for them to add postage.

To print out an order receipt for yourself you click on Print Order on that receipt page I took you to - or from the order page you click the box to the left of your order and then click print order above it.
This will take you to the receipt interface page - you can pick an invoice to include in a package - or you can choose a receipt for yourself - or both. There are ways to customize what prints out as well. That is up to you.

The answer to this is no. If something gets calculated with a Flat Rate box you must use that Flat Rate box. Flat Rate and Regional Rate boxes and envelopes are NOT interchangeable with regular boxes. Flat Rate boxes have special prices and do not rely on weight - you can fill a flat rate box and whether it weight 2 pounds or 4 pounds the shipping price is the same. When you use generic boxes the shipping price is based on the weight and size of the box and the zip code it is going to.

This would depend totally on what dimensions you have in your water bottle listing, and what dimensions you have listed for your envelope in package preferences.

If you want to give both of those sets of dimensions I can help you with why the envelope wasn't chosen. But basically the calculator will find the best match for your item. What did the calculator choose?

As to what mail classes you offer for shipping - You choose those in your shipping profiles. This is why you don't need a lot of shipping profiles, you only need a few.

You said you made shipping profiles - you don't need them for every item. A shipping profile is where you choose your processing time, what countries you ship to, what mail classes you offer, and what if any handling fee you want to attach to each item. And you choose to use Retail pricing or Etsy pricing.

You have priority express showing as an option - that is because you chose that when setting up your shipping profile. You just need to go back to your shipping profile page - click edit on any profile to change things about it.

Basically you need one shipping profile that includes First Class and Priority. You put both options in a profile if one item can ship First Class, but if multiple items are bought and the weight goes over 16 ounces the whole order can jump to Priority shipping.

If you have items that are over a pound - then you can have another profile that just included Priority mail.

If you have some items that you want a 50 cent handling fee on, but others where you want a $1 handling fee - then you need separate profile for that.

But you can use the same profile on a lot of different items. All of your water bottles and small crochet items could use the same profile.

The star blanket doesn't appear to have calculated shipping on it. I changed zip codes and it remained the same. You need to check if you have put the weight and dimensions of the blanket in the listing and then attached a shipping profile to it.

Make sure you fold up the blanket before you measure it.

Something with calculated shipping should change with different zip codes and it is rarely a round number like $50

Just a spot check - I had looked at your water bottles and they looked reasonable - I think it was $4.04 FC shipping. And adding more than one to my cart only made the shipping go up a little bit - they were combining which is excellent. Before they weren't doing that, so good job.

However, a spot check I found this item

I wanted so badly to set up calculated shipping so that when someone ordered something, they could just click on what they wanted to order, how many, how they wanted it mailed, and then all that would be calculated for me and I would just have to package the item(s) and print out a packing label and all will be done.

Is this just wishful thinking?

I will be home because of my disability. Is there an option to pack what the person ordered myself, in one of my boxes and bring it to the PO to mail? How would that work as far as the customer knowing what to pay for the order and would I still pay for and print out a shipping label?

The waterbottle came out as $2.02 shipping when I went to the page where the order was, and I chose how to ship it and what weight it was. I know it was $4 and change for shipping when I worked on it last night.

No, the pocketbook weighs 5.9 ounces, with a length of 7.5 inches, a width of 5.5 inches, and a height of 3 inches. The waterbottle weighs 2 ounces; with a length of 7.5 inches, width of 4 inches, and a height of 1.5 inches.

What in the world am I doing wrong still????

I am going to take a break from this for the rest of today. It's making me really anxious. I will go back to it tomorrow and fix what I can.

Barbara - most of your items are lightweight items. Also, you are not that likely to sell a lot of multiple items at one time. Given those two things - you might just be better off giving flat rate shipping prices. You still need to be able to weigh your items all packaged up and ready to ship - buying the scale will not ever be wasted. But it would be simpler and easier for you.

You package up an item and weigh it. Then you go to the USPS website and use their shipping calculator. You put in your zip code and the farthest zip code from you. For instance I'm on the East Coast so I would use a zip code on the West Coast like California. And you use that as your shipping price.

For light items that go First Class it's the same shipping it anywhere in the country. For instance your bottle covers - You could charge $3 or $4 shipping and then you put in a with another item price like $1 or 2. If you have any items that are over a pound then you use the farthest zip code method. Everyone is charged the same price.

Then you pack up your items and take them to the PO to mail. You don't have to worry about printing shipping labels with postage - just print out or write out a label for the box and the PO will do the postage for you.

Calculated shipping is not automatic - as I said before it is entirely separate from shipping labels. It just gives more accurate shipping prices for those of us who sell a variety or items, in multiples often, and heavier items where shipping across the country can have vast differences in shipping prices.

This may not be what you need or want.

Barbara - it sounds like sometimes you are weighing things in an envelope and sometimes out of the envelope.

A bubble mailer all alone can weigh 2 ounces, so I don't know how a bubble mailer with a water bottle cover in it could be 2 ounces.

When you printed out your label did you put the weight in there for the bottle all packed up in the mailer?

One last thing - you can still use calculated shipping for setting your shipping prices, but choose Retail Prices (Go to your Shipping Profile page and scroll down a bit and you will find the boxes to check for which prices you will use, Etsy Prices or Retail Prices. ) If you choose Retail prices then you can bring your packages to the PO if you prefer and have them do the postage for you instead of printing your own labels at home.
