I really need help badly. I had a multiple item order from a buyer. I had offered combined shipping, but when it came down to it, it did not appear possible to combine shipping with the calculated shipping profile I used. I did not have time to fuss with it on Etsy, so I went to USPS and FedEx directly to ship these items out very quickly, since buyer super speedy delivery. And these were paid for yours truly. Now, in order for me to get paid for this order, and for my shipping costs, I need to fill out the "complete order" form. The problem is that somehow I had also purchased 5 Etsy labels which were not used but are now lingering there in pre-transit status and preventing me from completing my order and providing the correct tracking numbers, which would enable me to get paid and for the buyer to get reimbursed for extra postage she paid.

Re: Filling out the completed order form when I did not use the purchased Etsy labels
@ClearwaterAntiques: Also make sure that you edit the tracking on each order to include the same courier, and tracking number on all of them. You have up to 72 hours from the time the orders were initially marked as complete / shipped. https://help.etsy.com/hc/en-us/articles/115015774228-How-to-Add-Tracking-and-Complete-an-Order-?segm...

You need to apply for a refund on the Etsy labels to get your money back .

Re: Filling out the completed order form when I did not use the purchased Etsy labels
Thank you! The whole issue was I needed to "Add a package" for each box I did send using non-Etsy labels, and add a tracking number for each box. When I did that, the order was marked Complete and I got paid very quickly. What a relief! Thanks again!

Re: Filling out the completed order form when I did not use the purchased Etsy labels
I use Pirateship (which integrates with Etsy), not Etsy Labels, so I don't know the exact process there. What I do is combine the weights of the two packages and figure out what box size to use (I use calculated shipping). Then I buy one label for that package based on the weight and box size I plan to use. Pirateship automatically puts the tracking number on whichever order I used to buy the postage. Then I go back to Etsy and put the same tracking number on the other package.
If I were offering free shipping (I don't), I would build the cost of the shipping into the product price and ship the cheapest way possible, which is Ground Advantage or UPS Ground, depending on the size of the package. I offer postage upgrades to Priority Mail and Express Mail for customers who are in a hurry. They get the slower Ground Advantage unless they pay for one of the upgrade options.

Thanks for your response. May I ask why you choose to use Pirateship? I know that a good number of sellers use it.

Re: Filling out the completed order form when I did not use the purchased Etsy labels
Pirateship fully integrates with Etsy and posts your tracking numbers automatically just like Etsy Labels does. It is free, except for what you pay for the postage. There are no monthly fees like some discount postage services.
First and foremost, I use Pirateship because I can get help from a real human who has the power to act when I have a problem in under a minute or two. On Etsy you are lucky if they ever answer you at all, and when they do it is days later.
There are rarely glitches on Pirateship like there are on Etsy Labels, and on the rare occasion when one occurs, they fix it immediately, not days later like Etsy does.
Pirateship also offers UPS at up to a 70% discount, and that is often cheaper than USPS's Ground Advantage, especially on larger packages.
International rates are much cheaper than Etsy if you open a chat and ask for the Simple Export Rate to be activated. You only have to ask once and then it is there after that.
On Etsy Labels, Acendia packages are only tracked until they leave the US, then it shows nothing until the package is actually delivered. On Etsy Labels, foreign packages often get lost or delayed, and without being able to tell your customer where the package is in it's journey breeds distrust, and they often think you ran off with their money and demand a refund before the package gets there but after you have mailed it.
Pirateship says they bought the delux Ascendia plan, while Etsy bought the Regular plan.
On Pirateship, packages show every hop along the way, even after they leave the US, and there are rarely delays unless they are caused by Customs clearance. I find just being able to tell customers where their package is calms them down and I get less demands for refunds, and there are less delays in general.
If you still don't trust Ascendia, on Pirateship you can still ship foreign orders without using them, although the cost is higher.

Re: Filling out the completed order form when I did not use the purchased Etsy labels
Nevermind my question in my previous reply. Actually, I went to the Pirate Ship website and see that it is extremely user friendly, offers great prices and has almost all-day personal support. That certainly would have helped me with this order. So I am going to set it up so that my Etsy shop is integrated with Pirate Ship. Thanks so much for bringing them to my attention, AAANativeArts!
