Overwhelmed

Again... the workload, organizing that NEEDS to take place, new products to make, photograph and list, inventory... inventory, and more inventory.... the darn accountant is asking for it and I'm dying here. Head is barely above water with orders.

This is my full time job and there just isn't enough time in the day. I cannot hire anyone, It would take me longer to show them than to just do it myself and by 8pm after working 13 hours today, I'm exhausted.

What do you do to track your expenses, costs, inventory, cost of goods sold, etc...? I could really use something simple! My spreadsheet just doesn't update itself.

I have my husb do the financial aspect of this business for me. So he handles the spreadsheet with inventory, cost of goods, profit, etc.

If you take at least 1-3 hours a week to update the spreadsheet it really helps keep you in track. Hope you do find a friend, sibling, or s/o to assist.

I wish my hubby would but he's more trouble that that is when it comes to helping with the 'craft business'.... lol he means well but again, i'd rather do it myself hehe...

I try to set aside time but it seems that it's always sucked into another project or order or convo or something... thanks for your words of wisdom :)

I spend about 3 hours a week on my Excel spreadsheet. After having let it slide for a few months I vowed to NEVER let that happen again because it was a major pain to get all that data entered.

You really just have to discipline yourself to take the time to do it. You will be thankful you did come tax time next year!

There is a separate site called outright tat I have heard of. Don't know much about it- it was mentioned on another team.

I use outright. It's helpful, but I have it linked to etsy and my personal credit card which is a pain because every time we purchase something that is not business related, it also gets recorded and I have to then edit or delete the charges. I'm thinking of getting a business credit card. Anyone done that?

i´m not that busy to need a spreadsheet, i have a little book where i write down everything. and being a student without any other income i don´t need to pay any taxes so it does not really matter if i write it down or not.

hi fran, no i don´t because i earn less than 11000€ a year with etsy. i asked at the department of finance and that´s what they told me. once i have a job it´s a different chapter but until i´m done with my diploma i´ll have no income.

Hi Paulette, I completely understand where you're coming from. I feel like I'm running around like a headless chicken and never getting all the jobs done!
I have just discovered a site called Craftybase that's designed to help you keep track of your inventory, costs etc. I've only just started the free trial (14 days free trial I think) but it might be worth a look. We still have to find the time to keep the records up to date of course but at least its all in one place and it integrates with etsy really well.

I'm a chicken with my head chopped off too! I couldn't sleep last night I was so stressed. I'm going to check out that site, sounds worth it!

I do use Outright and LOVE IT! I upgraded to the plus and it really does help with taxes. I manage to long in there every week to categorize my items. My bouquet jewelry is the hardest to track the use of. Every little bead needs to be counted for and if I would have started outdoing that I'm sure it would be easier, problem was I just wanted to make pretty things and never really thought it would be such a business of it. Now I'm playing catch up. :(.

Not to mention I'm a hoarder of all crafty things, especially fabric... Running out of room! Lol

I am in the same boat. Stressed.
I finally put an announcement in my shop that I'm not taking on any new custom orders until the end of next month. I also live away from my family with my little 1.5 yr old so other than my husband I don't have much help.

about taxes I x write anything down just save the receipts which is terrible! At least I have a business account that I can see my purchase....

I did that Teresa, didn't help. Which is good but also bad... I have zero time for my new product and lots of fabric sitting here screaming at me to sew it up...

I know exactly what you mean. There just aren't enough hours in the day!!! I hadn't put out any new designs in months. But since last week I started trying to stick with a weekly schedule. Mon, Tues and fri work on orders and the rest of the days work on designs. That didn't quite work, so now I'm trying mon,wed,fri (orders) and tue, thur (designs). So far so good. Maybe you can implement some sort of schedule, where at least once a week you work solely on new designs, photos, listing, organization, etc.

What I also did recently was update my shipping times adding a few extra days. Hadn't had any complaints so far and I feel much less stressed.

As far as accounting; I HIGHLY recommend Outright. It's a life saver! All my etsy and paypal stuff goes in there and it organizes everything. Then all I have to do is add in a few receipts at the end of the month. I think you can also link your bank and cc, if you have a separate biz account.

Betsi is another great tool. I used to spend hours sometimes even days updating all my listings, now it takes me 3 minutes on average.

I know how you feel, Paulette, or at least I'm starting to. Trying to get inventory for my craft shows, but every time I make a new earwarmer, someone at my day job snaps it up and another person orders another one. Don't get me wrong, I love it, but just once I'd love to keep one long enough to list it here!

So far keeping up with my purchases and deposits with Quicken, has been adequate for my accountant, but I'm still very small-time.

I make it very simple:
I use a credit card strictly to run my Etsy business: pay for merchandise, post office, easy charges, etc,
everything is recorded there every month;

I save every receipt, put them in a folder, for my husband to take care of it later when we pay out taxes.

I am longing to be overwhelmed again! Business was very good from October 2012 thru June of this year, but, despite my listing more and more stuff in my shop, sales have declined considerably. I'm still getting a good number of views most days (100+), as well as favorites, so I'm hoping that the slowdown is simply due to vacations and back to school shopping.
