Importing direct checkout orders into PayPal

Hi everyone, one of our existing direct checkout users provided this helpful tip for uploading direct checkout orders into PayPal's tools. We're already working on a CSV file for bookkeeping purposes, but in the meantime here are the instructions:

1. Shop Settings/Options/Download Data. Download a csv file of your orders.
2. Open the CSV file. Remove any orders that are not "direct checkout" orders. Leave the header field intact.
3. Edit the Buyer column to be the shipping First Name. Edit the Ship Name field to be the last name.
4. Edit the Ship Country column to be US instead of United States.
5. Open the Paypal Multi Order shipping window.
6. File/Import
7. Browse for your CSV file, click import.
8. Drag the corresponding columns into their correct places. Use the Buyer field for First Name and Ship Name field for Last Name.
9. Save your import template for use next time.
10. Finish import.

Now if I can figure out what a CSV file is and how to use the darn thing. I downloaded one once and nothing on my computer could open it.

CSV is a comma-separated value format. You can open a CSV file with Open Office, a free download: http://www.openoffice.org

I tried this yesterday...what a mess. What I opened looked like an Excel chart. There was one word in each little block. I couldn't figure out how to remove anything, and as I only had one I wanted to ship..I found it easier to just use Paypal's shipping tool and type the address in myself. Those of you who use the CSV file: Is that what it looks like? And how much more work is it to remove and change things, as opposed to simply using the Paypal tool? Maybe if you have dozens of orders, this would be a good way, but if you only have a couple, it seems like a lot of work.

If you're not familiar with Excel or CSV files, you'll have a bit of a learning curve, RedHippo. Writing instructions for that is a bit beyond what I have time to do, but there are lots of tutorials on that floating around the internet. If the method doesn't save you time, of course there's no reason to use it.

Thanks Lisa and Camilla for posting this! I saw in paypal that I could import a csv file to shipping, and just hadn't had time to go into it yet. So THANKS for this quick reference, it will save me tons of time!

Bumping this, and wanted to add/update that you can now download a better CSV file from Shop Settings/Options/Download Data. It's still not perfect but it's cleaner.

I tried this morning. It would be helpful to downlaod by date, instead of by month. It certainly would save time not having to delete the dates you don't need. Since I onyl had 2 orders, I entered them manually.

thank goodness for this thread! I have been creating each order manually in paypal's multi-order shipping, which was just a hassle. I followed the steps from the first post of this thread, but though a few changes/tips might be worth mentioning, to make it a little more detailed for those that think like me :)

1. Shop Settings/Options/Download Data tab ("options" will be in the back-end of your shop, left hand side). Download a csv file of your "orders" (you will be given 2 options, either "orders" or "order items" in the csv drop-down box).
2. Open the CSV file. Remove any orders that are not "direct checkout" orders. Leave the header field intact. If your file opens up as READ-ONLY you will not be delete. If this is the case, open up a new excel sheet and then copy and paste the rows you want, and edit/delete info from there.
3. Edit the Buyer column to be the shipping First Name. Edit the Ship Name field to be the last name. (***my file opened up with "last name" and "first name" already labeled, so I was able to skip this step.***)
4. Edit the Ship Country column to be US instead of United States. Now save your edited excel file.
5. Open the Paypal Multi Order shipping window.
6. File/Import.
7. Browse for your CSV file, click import.
8. Drag the corresponding columns into their correct places.
9. Save your import template for use next time.
10. Finish import.
11. You *may* have to log out and then log back into multi-order shipping for the imported names to show up.

I keep getting the error about the country name being 15 letters rather than 2. On the worksheet I am typing US, do I need to change the format for the column?

If you have enough orders where this becomes highly tedious, I would suggest using a third-party app, like ShipRush that automatically imports orders. You have to pay a monthly fee, but it's worth it.

I don't see the account tools section.
I looked everywhere on the overview account page. Is this only available for business accounts? I have a premier account so maybe that is why I don't have account tools

I finally got it! apparently there is an initial set up.
Go to merchant services and towards the bottom of the screen click on manage my shipments. The multi order shipping will pop up.
I followed the rest of the above instructions with no problems.
After going back to my overview account, there was the account tools section.

Crud...sorry...hit send too soon.

Anyhoo, when we import those addresses into Paypal's multi-shipping process, the zip codes come up with the 0 missing -- so we have to go in and correct the zip. It's not a big deal -- but thought if you all didn't know about it, you might want to hear about it.

I tried it too, and it was a nightmare. I got soooooooo frustrated I did the PayPal ship by putting in all the info manually.

it's happened a couple times where the zip code only enters in 4 numbers, instead of 5. not a big deal as multi-order shipping will throw an error exclamation mark, then I just double check and enter in manually the missing number.

I've been trying to upload my CSV file to Paypal multiorder shipping, but when I go to import then it wants the fields mapped and it says just to drag items from the CSV field to the Paypal field to map them, but they will not drag. Am I doing something wrong or is the program messed up?
